The Canadian Museum for Human Rights (CMHR), currently under construction in Winnipeg, Manitoba, is one of Canada's newest national museum and the first to be built outside of the National Capital Region. Responsibilities

The Divisional Assistant, Museum Experience will provide support to the Vice President, Museum Practice as well as administrative support to the Division. The Divisional Assistant will function as the scheduling assistant for senior managers within the Museum Experience Division, primarily the Vice President, Museum Practice.

The position provides high-level administrative support by conducting research, preparing reports, handling information requests, and performing other administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings and conferences.

Maintain divisional administrative records

Coordinate and schedule appointments and meetings, in a friendly and professional manner

Arrange travel reservations, including accommodations, as requested

Program coordination for Inclusive Design Advisory Committee (IDAC), Peer Review and Oral Histories which includes arranging special accommodations i.e. accessible taxi pick-up, interpretive services, brail translation, etc., creating budgets, managing contracts, and logistics i.e. food, booking meeting space, etc.

Organize meetings and/or special events, preparing and executing logistical plans, including recording meeting, boardroom, and venue bookings when requested

Type, edit, and format correspondence as requested in both official languages

Routinely work with confidential information and interact with senior level individuals, internal and external to the organization

Provide administrative support such as email, electronic filing, and information management

Responsible for preparing and uploading content of the Museum Experience Division to the Intranet

Prepare purchase orders

Process expense claims
-
Prepare meeting minutes for exhibit meeting, Design & New Media and Collections department

Mail pick up/ delivery from 269 Main to 1 Wesley

Other duties when required
Qualifications
Requirements for this position are as follows:
Skills and Knowledge - Required
-
Grade 12 Diploma
-
Minimum 3-5 years' experience as an executive/administrative assistant for a senior position
-
Strong communication and interpersonal skills
-
Exceptional organization and time management skills, with the ability to prioritize
-
Proficiency with the Microsoft suite of products (Word, Excel, PowerPoint, Outlook) with particular aptitude for preparing and formatting notes, reports and documents
-
Must be fluently bilingual in both official languages
Skills and Knowledge - Desired

Post-secondary education in Office or Business Administration is an asset

Education in Public Administration is an asset
-
Knowledge of government policy
-
Experience in dealing with various government representatives and diplomats is an asset

Experience in a Museum or Human Rights Focused setting
-
Proficiency with various forms of new media (e.g. social media, etc.)

Working Conditions & Physical Demands
